Terms of Service
These terms set out how Bolulo may be used by accommodation providers, their staff, residents and applicants.
1. Agreement and who we are
These terms apply when you use Bolulo at vantimode.bolulo.co.za, including the applicant portal and the dashboards. Bolulo is operated by OOWEBOO IT Solutions, info@ooweboo.co.za. By using it you agree to these terms and to our Privacy Policy. If you use Bolulo for an organisation, you confirm you have authority to bind it.
2. The service and who is who
Bolulo is software that accommodation providers (“Providers”) use to manage applications, tenancies, maintenance and communication. Each Provider uses its own Bolulo address.
Bolulo is not a landlord and is not a party to any application, lease or house rule between a Provider and an applicant or resident. Questions about an application, a lease or the accommodation itself are for the Provider. A Provider’s plan, fees and limits are set in its own agreement with Bolulo.
3. Accounts and security
- Give accurate information and keep your sign-in details confidential. You are responsible for activity under your account.
- Tell us promptly if you suspect unauthorised access.
- Providers manage their own users’ access and should deactivate people who leave.
- We may lock or restrict an account where needed to protect security.
4. Acceptable use
You must not:
- break the law, or use Bolulo to harass, threaten or defraud anyone;
- try to access accounts or data you are not authorised to see, or bypass the separation between Providers;
- probe, scrape, overload or disrupt the platform, or introduce malicious code;
- impersonate another person or submit information you know to be false;
- upload content you have no right to upload, or that is unlawful.
5. Responsibilities of Providers, managers and staff
- Collect and use applicant and resident information lawfully, tell people how it is used, and keep it accurate.
- Access personal information only as needed for your role, and keep confidential reports confidential.
- You are responsible for your decisions on applications, allocation and leases, and for the documents and content you upload.
- Comply with the laws that apply to your accommodation business.
6. Personal information
How personal information is handled, and the roles of the Provider and Bolulo, are described in the Privacy Policy. Where a written agreement with a Provider says otherwise, that agreement applies.
7. Email and WhatsApp communications
Bolulo sends operational notifications by email and, where a Provider has enabled it and the person has opted in, by WhatsApp. WhatsApp is used for notifications only, not marketing.
- Keep your contact details correct, and only enter a phone number that is yours or whose owner agrees.
- Staff may record a WhatsApp opt-in only where the person actually asked for it. STOP requests must be honoured.
- Marketing by WhatsApp would need separate lawful consent and compliance with Meta’s policies, and is not offered here.
- WhatsApp is provided by Meta and subject to its terms and policies. Delivery is not guaranteed, and Meta may limit or suspend messaging.
- Messages are alerts: read the details in the portal. They are not a substitute for emergency services.
8. Availability and third parties
We work to keep Bolulo available, but it is provided “as available” and may be interrupted for maintenance or by events outside our control, including outages of hosting, database, file storage, email, WhatsApp and AI services we rely on. The AI help assistant gives general guidance, can be wrong, and is not professional or emergency advice.
9. Plans and fees
A Provider’s use is subject to the plan and limits (for example properties, beds and managers) agreed with Bolulo. Access may be restricted if a subscription expires or is not paid.
10. Intellectual property
Bolulo and its licensors own the platform and its software. You receive a limited, non-exclusive, non-transferable right to use it as intended. Providers keep ownership of their own data, content and branding and allow us to host and process them to provide the service. Do not copy or reverse engineer the platform except where the law allows.
11. Suspension and termination
We may suspend or restrict access for breach of these terms, security reasons, non-payment or legal requirements. A Provider may stop using Bolulo and should export the data it needs first, using the data export feature where available. Data is then handled as described in the Privacy Policy.
12. Liability
Nothing in these terms limits liability that cannot be limited by law, including under consumer protection law. Subject to that, Bolulo is not liable for indirect or consequential loss, for loss caused by how users or Providers use the platform, or for events outside its reasonable control. Liability to a Provider is otherwise as set out in its agreement with Bolulo.
13. Disputes and governing law
Please contact us first at help@bolulo.co.za so that we can try to resolve a concern in good faith. These terms are governed by the laws of the Republic of South Africa.
14. Changes to these terms
We may update these terms. The latest version is always on this page with its effective date, and we will take reasonable steps to tell account holders about material changes. Continuing to use Bolulo after a change means you accept it.
